Remote meetings are a key aspect of collaboration, particularly for distributed teams. If you fail to adhere to the proper protocol for meetings it can be less productive than in-person meetings. Virtual meetings can benefit from a variety of the same techniques used to make in-person meetings efficient and enjoyable. 1. Use an agenda.

Begin the meeting with an agenda to keep it clear and avoid getting lost in conversational nonsense. If you are able, draft an agenda that incorporates input from the attendees and then present it first.

2. Encourage everyone to speak up.

Some people are hesitant to join online meetings due to the fear of that they will be interrupted. You might want to consider using a conference call camera and microphone that will eliminate background noises and amplify everyone’s voice equally. You can ask questions or to make comments following the meeting to ensure that everyone can be heard.

3. Prioritize action items and follow up.

Meetings often end with unclear action items and no clear follow up plan. To prevent this from happening, you must agree on how actions will be documented and followed up at the start of the meeting. Then, review them at the conclusion of the meeting. You can also schedule one-on-one follow-up meetings, or another team meeting within a realistic timeline.
